A brief is information prepared for one delivery. It is not a booking or an accepted load.
What goes into a brief.
- Site and date
- A site reference (a nickname is enough) and the delivery date. Both are required.
- Task and consequence
- The task the materials support, and what happens if one item is missing.
- Arrival window
- The earliest acceptable arrival and the latest usable arrival.
- Receiving
- The receiver’s role, and whether a contact method has been agreed in advance.
- Site access and unloading
- Where the truck enters and stops, and how the load comes off.
- Materials ready
- Each item with its quantity, supplier and supplier order reference, whether it is already ordered, and when it will be ready for pickup.
The printed copy has blank lines for the job address and the receiver’s name, to fill in by hand; this page does not ask for them.
How a brief is checked.
- A part is ready when every field in it is filled in.
- An empty field, a value in square brackets or a filler such as “TBD” counts as not filled in.
- The site reference and the delivery date are required before a brief can be complete.
- The latest usable arrival must be later than the earliest acceptable arrival.
- Receiving is ready when the receiver’s role is given and a contact method has been agreed.
- Materials are ready when every item listed has its material, quantity, supplier and supplier order reference, is already ordered and has a time it will be ready for pickup.
